Servicing & Care Plan Terms and Conditions

Air conditioning servicing, re-gas and repair work, and the AC Essential and AC Complete care plans, for homes and small commercial premises.

1. Who we are, and what these terms cover

ArcticNord is a trading name of Qualis Energy Limited, registered in England & Wales (company no. 16320369), registered office Unit 10 Brailwood Close, Bilsthorpe, Newark, Nottinghamshire, NG22 8UG. VAT registration no. GB 492 6702 67. In these terms, "we", "us" and "ArcticNord" mean Qualis Energy Limited; "you" means the person or business who books the work or holds the plan.

These terms apply to the six things we sell to domestic and small commercial customers:

Installation is not covered by this document. Supplying and installing a new air conditioning or air-to-air heat pump system — including survey, design, deposits, electrical work and the installation workmanship guarantee — is governed by our separate installation terms. This document begins once a system is installed and in use, whoever installed it.

Multi & Commercial Care contracts are not covered by this document either. Those are surveyed, individually priced and governed by our separate Multi & Commercial Care Contract Terms. Any VRV/VRF, refrigeration, process cooling or chiller plant is a commercial contract regardless of the type of building it is in, as is any multi-site or compliance-driven requirement.

The care plans in sections 11 and 12 cover up to five indoor units in total. Beyond that, a surveyed commercial contract makes more sense and we will quote one. The one-off services in sections 7 and 8 have no unit limit — a six-head multi-split can be serviced at £164 plus £45 per unit beyond the second, without any plan at all.

By booking work with us, or by signing up to a care plan, you agree to these terms. Where you are a consumer, nothing in these terms affects your statutory rights.

What we need from you at booking

You must tell us, accurately and before we book:

If the system turns out to be materially different from what you described — most commonly, more indoor units than declared — we will either re-price the visit with your agreement on the day, or carry out the work on the units the original price covered and quote separately for the rest. We will not simply absorb it.

Out-of-hours attendance

Our standard working hours are 08:00–17:00, Monday to Friday, excluding bank holidays. Attendance outside those hours is available by arrangement and is chargeable at an uplift on the applicable rate, applied to the call-out fee and to each half-hour block alike:

Out-of-hours attendance carries a minimum charge of two hours. No care plan includes out-of-hours attendance within its price — it is always an extra, chargeable visit, although plan holders pay the reduced base rate before the uplift is applied.

5. How we check refrigerant — and why we don't use gauges

Applies to everything

Every service and every care plan visit includes an electronic leak check: a calibrated detector passed over the flare joints, service valves, coils and accessible pipework. It finds refrigerant escaping long before a system stops cooling properly.

What we deliberately do not do on a routine visit is connect manifold gauges. Every time a system is gauged up, a small amount of refrigerant is vented, the schrader valves take wear, and there is a risk of introducing air or moisture into a sealed system. A habit intended to check the system's health slowly damages it — and you pay for the lost gas either way.

Charge is confirmed instead by temperature split across the coils, together with pipe temperatures, which tells us what we need to know without opening the system.

Gauges come out when there is a reason to use them: a leak found by the detector, a temperature split that is clearly wrong, or a re-gas. At that point the visit has stopped being a service and become a diagnosed fault or the re-gas job in section 9 — and it is chargeable as such.

6. Excluded from every service, plan and visit

One-off — no plan, no commitment
Applies to: a system with one indoor unit and one outdoor unit — a bedroom, home office, single-room shop or salon.

Payable on completion by card or bank transfer, against an invoice issued on the day, unless we have agreed otherwise in writing.

The first visit on a system we did not install

Where we have not seen the system before, the first visit is a condition survey as well as a service. Anything pre-existing goes into the written report that day. Faults recorded in that report are excluded from any guarantee we give and from any care plan you subsequently take out, until they are put right.

8. Multi-split service — £164 + VAT (£196.80 inc. VAT)

One-off — no plan, no commitment
Applies to: a system with one outdoor unit serving more than one indoor unit. The published price covers up to two indoor units.

Each indoor unit beyond the second is £45 + VAT (£54 inc. VAT). This must be confirmed when you book, not discovered on site — see section 3.

9. Re-gas & leak repair — from £299 + VAT (£358.80 inc. VAT)

One-off — no plan, no commitment
Applies to: a system that has lost refrigerant charge. This is a from price. The final figure depends on refrigerant type and quantity and is confirmed with you in writing before any work starts.

If the leak cannot be found

We will not re-gas a system and hope. Where the leak cannot be located, we will stop, report, and quote for further investigation, and you choose whether to proceed. You are charged for the attendance and the diagnostic time at the rates in section 4, not the full re-gas price.

Our re-gas guarantee

We guarantee the leak we repaired for 12 months from the date of the work. If the same repaired joint or component leaks again within that period, we return and re-repair it at no charge for labour or attendance, and the refrigerant needed to recharge the system is supplied at our cost price with no margin.

The guarantee does not cover: a new leak at a different point in the system; a leak in a component we identified and quoted for but you chose not to replace; damage from misuse, alteration, flood, surge or vermin; or any system where we recommended a repair that was declined. A second re-gas of a system with an unfound leak is not covered — if we could not locate it, we will have told you so in writing at the time.

Payment

Payable on completion. Where the final price exceeds the £299 from-price, the full figure is confirmed to you in writing and agreed before we begin.

Priority booking and priority response

We commit to the following, and these are the numbers you can hold us to:
  • Priority booking (both plans). Your annual service is booked at a time that suits you, and we contact you to arrange it — you do not have to remember. Plan holders are slotted ahead of one-off enquiries when the diary is full.
  • Priority response — AC Essential. Where you report a breakdown, we will offer you an attendance slot within 7 working days.
  • Priority response — AC Complete. Where you report a breakdown, we will offer you an attendance slot within 5 working days.
  • A one-off customer with no plan has no committed response time at all.
"Priority" means a position in the queue. It is not a 24-hour or same-day promise, and no plan includes out-of-hours attendance.

What no plan includes

Manufacturer warranties

Most manufacturers require documented annual servicing for their warranty to remain valid. Holding a plan and keeping to its visit schedule satisfies that condition and gives you the paperwork to prove it. The warranty itself is the manufacturer's and is subject to their own terms, which we do not control.

11. AC Essential — £10.99/month + VAT, or £125/year + VAT

Care plan — 12-month agreement
Price: £10.99/month + VAT (£13.19 inc.)  ·  or £125/year + VAT (£150 inc.) paid annually.
Additional indoor units: £3.99/month + VAT each, or £45/year + VAT each, up to a maximum of five indoor units in total, including the first.

Everything listed under "What no plan includes" in section 10, and everything in section 6. In particular: the call-out fee is reduced, not waived, and refrigerant is never included.

12. AC Complete — £18.99/month + VAT, or £215/year + VAT

Care plan — 12-month agreement
Price: £18.99/month + VAT (£22.79 inc.)  ·  or £215/year + VAT (£258 inc.) paid annually.
Additional indoor units: £3.99/month + VAT each, or £45/year + VAT each, up to a maximum of five indoor units in total, including the first.

What's included

Visit 2 is an interim performance check, not a second full service. It takes around 40 minutes on site and covers: filters, condensate drain, electronic leak check, controls, and a run in heating mode with the temperature split verified — so the system is right for the season it is about to work hardest in. It does not repeat the full strip-down, coil clean and complete electrical test of visit 1. We state this plainly here, and on the website, because describing it as "two service visits a year" would not be accurate.

Not included

How AC Complete differs from AC Essential

Three things, and only three: the second visit, 15% off repairs instead of 10%, and a faster committed response. Both plans carry the same £69 + VAT call-out rate. Complete does not offer a cheaper call-out than Essential, and we do not claim it does.

13. Repair discounts — what they apply to

AC Essential and AC Complete
The 10% (AC Essential) and 15% (AC Complete) discount applies to:
  • Parts supplied as part of a quoted repair.
  • Repair labour on a quoted repair.
It does not apply to:
  • The call-out fee, and the hourly rate charged for attendance and diagnosis — those are already reduced from £89 to £69 for plan holders, which is the plan benefit. (Hours spent on an accepted repair are different: those are discounted, per section 4.)
  • Refrigerant, or the re-gas & leak repair job in section 9.
  • New installations, replacement systems, or additional equipment.
  • Access equipment, hire, or the difficult-access surcharge.
  • The plan price itself, or additional-unit charges.
  • Anything already sold at a promotional or discounted price.
The discount is not combinable with any other offer or promotion, and applies only while the plan is live and paid up to date. It is applied to the quotation, so you see the discounted figure before you accept.

14. Cancelling a care plan, and your 14-day right to change your mind

AC Essential and AC Complete

Your statutory right to cancel — consumers only

If you are a consumer and you signed up to a plan online, over the phone, or anywhere other than at our premises, you have a legal right to cancel within 14 days of signing up, without giving a reason. To cancel, just tell us — email hello@arcticnord.co.uk or call 0333 090 7546 before the 14 days are up. A clear statement is enough; you do not need a form.

Worked example. AC Essential at £125 for the year, covering one full service plus reminders, priority booking and the reduced call-out rate. You expressly ask us to attend in week one and then cancel on day 12. The service visit is the substantial part of the plan, so we charge £104.17 + VAT — ten twelfths of the annual price — and refund the rest.

Cancelling after the 14 days

A care plan is a 12-month agreement, so you are committing to the year. You can still cancel at any time, and what you pay depends only on what we have already delivered:

The settlement rule. If you cancel part-way through the term, we work out the standard one-off price of the visits you have actually received, deduct everything you have already paid, and charge the difference. That figure is capped at the payments remaining on the term — so you can never pay more by cancelling than you would by seeing the year out.

For that calculation, the visits are valued at our published one-off prices:

  • Full service visit, one indoor unit£119 + VAT
  • Full service visit, two indoor units£164 + VAT, and £45 + VAT for each indoor unit beyond the second
  • AC Complete interim performance check — £69 + VAT, whatever the unit count

Worked examples.

  • AC Essential, single unit, monthly. You cancel in month 2 and we have not yet visited. You have paid £21.98. Nothing has been delivered, so nothing further is due and the plan ends.
  • AC Essential, single unit, monthly. Service delivered in month 1, you cancel in month 3. Paid £32.97; visit value £119. Difference £86.03, capped at the £98.91 remaining — so £86.03 + VAT is due.
  • AC Complete, single unit, monthly. Both visits delivered, you cancel after your ninth payment. Paid £170.91; visit value £119 + £69 = £188. Difference is £17.09 + VAT, well under the £56.97 remaining, so that is what is due.

On our current prices the cap almost never comes into play — it is there so that cancelling can never cost you more than continuing.

Annual payers. If you paid for the year up front and cancel part-way through, we refund what you paid less the value of the visits delivered, calculated the same way. Where the visits delivered are worth more than you paid, there is no refund and nothing further to pay.

If something has gone wrong, tell us first — email hello@arcticnord.co.uk or call 0333 090 7546. We will acknowledge within 2 working days and give you a substantive response within 10 working days.

If we cannot resolve it between us, you retain the right to take the matter to court. Where we are a member of an alternative dispute resolution scheme, we will tell you which scheme, give you its website, and confirm whether we agree to use it — and we will do that in our final written response to your complaint, so you have it before you decide what to do next.
